The software helps organizations scan, organize, convert, and route physical documents into the digital systems their teams already use.

In many workplaces, physical documents still move through several steps before the work around them is complete. An invoice may require approval before filing, a signed contract may need to be stored in a shared folder, while forms, receipts, and records may have to be scanned, named, sorted, and sent to another team.

As more business processes move into digital systems, organizations also need a practical way to bring information from paper into those workflows. Epson Document Capture Pro is designed to support that transition through compatible Epson DS series devices, allowing businesses to create structured document capture workflows without purchasing separate software.

Customizable scan workflows

Document Capture Pro allows organizations to create up to 30 customizable scan jobs, depending on the device being used. By configuring frequently used workflows in advance, teams can apply consistent settings and reduce repetitive manual steps.

The software also includes optical character recognition, or OCR, which recognizes text within scanned pages and converts physical documents into searchable digital information. This not only makes documents easier to retrieve but also allows organizations to make better use of the content captured from paper.

Document Capture Pro supports common formats including JPEG, PDF, TIFF, PNG, DOCX, XLSX, and PPTX, depending on the device and operating system. Through OCR, scanned documents can also be converted into editable Microsoft Word, Excel, and PowerPoint files.

Turning paper into editable content

The ability to convert printed material into editable Office files can be useful for teams that frequently reuse information from physical documents.

Educators and trainers, for example, can scan a page from a textbook or training manual and convert it into a PowerPoint file, then adjust fonts, layouts, and content without recreating everything from scratch. Printed reports and tables can similarly be converted into Word or Excel files for further editing, collaboration, or analysis.

For organizations handling larger document volumes, Document Capture Pro can automatically separate scanned files according to predefined conditions such as blank pages, barcodes, OCR data, form type, file size, and patch codes.

Once files are captured and organized, they can be routed to compatible cloud storage services including Google Drive and Microsoft OneDrive, creating a more direct path from scanning to storage and access.

The broader goal is to help organizations create more repeatable processes around documents they handle regularly, from initial capture and organization through storage and retrieval.
